Privacy Policy

This policy explains what Vital Readout processes, why it is used, and the choices available to you.

1. Information Processed

When you request an explanation, Vital Readout may process the image or PDF you submit, information visible in that document, the explanation language you select, and actions taken within the service.

Vital Readout and its service providers may also process limited technical information such as an IP address, browser or device type, timestamps, request status, and security records needed to operate and protect the service. You do not need to create an account for the public beta.

2. Prohibited Sensitive Information

Do not submit medical records, protected health information, Social Security numbers, payment-card information, passwords, authentication credentials, legal case files, or other highly sensitive information.

Before submitting a document, remove names, addresses, identification and account numbers, signatures, barcodes, QR codes, and unnecessary pages. Submit only documents you own or are authorized to use.

3. Purpose of Processing

Vital Readout processes submitted information to generate the requested explanation and translation; identify clearly stated dates, requested actions, consequences, and possible questions for the sender; operate and secure the service; troubleshoot errors; prevent misuse; comply with law; and enforce our rights.

Vital Readout does not use a submitted document to make decisions about you or provide professional advice.

4. AI and Hosting Service Providers

The submitted document and selected language are transmitted to an AI service provider acting on our instructions. Requests are configured with response storage disabled. Standard provider security or abuse-monitoring processes may still retain request data for a limited period unless stricter controls apply.

Hosting, infrastructure, and security providers may process limited information to operate, protect, and support the service. Their handling is governed by their applicable agreements and legal obligations.

5. Cookies, Analytics and Technical Information

Vital Readout does not currently use advertising cookies or cross-context behavioral advertising on the document-processing flow. Essential technical features may use limited connection or device information to deliver the service, maintain security, enforce rate limits, and diagnose failures.

If analytics or cookie practices materially change, this policy and any legally required notice or choice mechanism should be updated before those changes are enabled.

6. Data Retention and Deletion

Vital Readout does not create user accounts or a persistent document history for the public beta. Original documents and generated explanations are not intentionally saved in a Vital Readout document database. Documents are processed for the current explanation.

Temporary data and security records may still be processed or retained for limited periods by AI, hosting, or infrastructure providers when reasonably necessary for processing, security, abuse prevention, legal obligations, or service operation.

You may request information or deletion where applicable by contacting privacy@vitalreadout.com. Because Vital Readout does not maintain a persistent document history, we may have little or no document content available to retrieve or delete. We may need to verify your identity before fulfilling a request.

7. Data Sharing and Disclosure

Information may be disclosed to service providers working on our behalf, when required by law or valid legal process, to protect users or the service, or in connection with a financing, merger, acquisition, bankruptcy, or transfer of the business.

Vital Readout does not sell personal information or share it for cross-context behavioral advertising.

8. Security Practices

Vital Readout uses reasonable administrative, technical, and organizational safeguards designed to protect information, including server-side API credentials, restricted file types and sizes, request controls, and limited application logging.

No internet transmission, AI system, or storage environment is completely secure. Do not submit information you do not want processed electronically. If a legally reportable incident occurs, notices will be provided as required by applicable law.

9. Privacy Choices and Applicable Rights

You may choose not to submit a document, remove a selected document before processing, or close or refresh the page to clear the current on-screen session.

Depending on your location and applicable law, you may have rights to know, access, correct, delete, or limit certain uses of personal information and to exercise those rights without unlawful discrimination. Contact privacy@vitalreadout.com to make a request.

10. Children’s Privacy

Vital Readout is not directed to children under 13 and does not knowingly collect personal information directly from children under 13. A parent or legal guardian should control any authorized submission involving a minor.

11. Policy Changes

Vital Readout may update this policy as the service, vendors, or legal requirements change. The revised effective date will be posted here. Material changes may receive additional notice where required.
